Terms of Service

EdTrips Global – Educational Group Tours for Schools & Educators

EdTrips Global is committed to providing safe, meaningful, and enriching educational travel experiences for students and educators. These Terms of Service outline the conditions under which participants may register, travel, cancel, or withdraw from our programs. By registering, you (and where applicable, your parent/guardian) agree to abide by the policies and conditions below.

1. Cancellation & Refund Policy

(A) Overseas Programs

Cancellation by Participant

  • 120 days or more prior to departure: Full refund, minus a non-refundable program fee of ₹50,000.

  • 119–90 days prior to departure: Refund after deducting ₹50,000 (non-refundable fee) + ₹25,000 cancellation charge.

  • 89–15 days prior to departure: Refund after deducting ₹50,000 (non-refundable fee) + 50% of program fee.

  • 14 days or less prior to departure: No refund.

Refunds will be processed within 30 working days from the date of receiving a written cancellation request via email at [info@edtripsglobal.com] Cancellations via phone will not be accepted.

Cancellation by EdTrips Global

EdTrips Global reserves the right to cancel a program under the following circumstances:

  • Minimum participation requirement not met.

  • Unforeseen circumstances such as political/social unrest, extreme weather, natural disasters, strikes, medical/public health emergencies, government restrictions, or other force majeure events.

In such cases, EdTrips Global may:

  • Offer a program voucher equivalent to the paid amount (minus non-refundable program fee, visa, and insurance costs, if applicable), OR

  • Reschedule the program (subject to additional costs, if any).

EdTrips Global also reserves the right to terminate a participant’s journey in case of misconduct, violation of rules, or damage to property. No refund will be provided, and the participant/parent will bear any costs arising from such termination.

(B) Domestic Programs & Camps

Cancellation by Participant

  • 30 days or more prior to departure: ₹2,000 will be deducted, Minus flight charges (if applicable)  balance will be refunded.

  • 15 – 30 days prior to departure: 50% of the total program fee will be deducted.

  • 15 days or less prior to departure: No refund.

Refunds will be processed within 30 working days upon receipt of written cancellation via email at (info@edtripsglobal.com)

Cancellation by EdTrips Global
If EdTrips Global cancels a domestic tour/camp due to insufficient participation or unforeseen circumstances (as mentioned in overseas policy), participants will be offered a program voucher equivalent to the paid amount.

2. Parent/Guardian Consent (For Student Participants)

Since some EdTrips Global programs are designed for school students, it is mandatory that all bookings are made by a parent/guardian on behalf of the student. By registering, parents/guardians agree to the following:

  1. Acknowledgement of Risk

    • I understand that educational travel and outdoor activities involve inherent risks (including but not limited to air/rail/road travel, outdoor treks, cultural activities, etc.).

    • I have disclosed any relevant medical conditions (e.g., heart issues, epilepsy, allergies) in the registration form.

  2. Program Rules & Discipline

    • My ward will adhere to EdTrips Global’s program rules and follow instructions given by tour leaders, educators, and mentors.

    • I accept that if my ward engages in unacceptable behavior, substance use (alcohol, cigarettes, drugs), or misconduct, EdTrips Global has the right to send them back at my expense, without any refund.

  3. Safety & Responsibility

    • I understand that my ward must remain with the group at all times. EdTrips Global is not responsible for any absence or deviation from the scheduled itinerary.

    • In case of illness, accident, or emergency, EdTrips Global may arrange for medical treatment and/or early return travel at my expense.

    • I accept full financial responsibility for any damages caused by my ward to public or private property.

  4. Personal Expenses & Valuables

    • All personal expenses (calls, beverages, extra services, etc.) are my responsibility.

    • EdTrips Global will not be held responsible for loss of money, gadgets, or valuables.

  5. Media Consent

    • I grant permission for EdTrips Global to use photographs, videos, or quotes of my ward for educational and promotional purposes.

  6. Legal Jurisdiction

    • These terms are governed by the laws of India. Any disputes will fall under the exclusive jurisdiction of the courts in Gurgaon,India.

3. Educator Participation

For teachers, principals, and accompanying educators:

  • Educators are role models and are expected to maintain professional conduct throughout the journey.

  • They will assist in student supervision, safety, and discipline in coordination with EdTrips Global mentors.

  • Educators are also subject to cancellation/refund policies outlined above.

4. General Conditions

  • All registrations are considered valid only upon receipt of complete payment and signed consent forms.

  • Travel insurance (where applicable) is recommended for all participants.

  • Program itineraries are subject to change due to operational, safety, or unforeseen reasons.
